Academic Programme - Answer

1. Can my poster/paper be presented by another colleague, if I am unable to be there mysefl?
As long as the person presenting is a co-author, familiar with the content, has registered for the congress & has advised us of who the presenter will be (so that we have it right on the program & on the poster cards onsite), either the main author or co-authors are welcome to present it. However please note that a presenter cannot do more than two presentations, regardless of the presentation type (e.g. poster, workshop, etc.) – Please see Presenter Information page for more information.

2. Can presenter change from making the presentation in spanish to English or viceversa?
Yes, please send an email to wfot2010@wfot.org to let us know.

3. I would prefer to do my presentation as a oral paper not a poster presentation
Changes to the programme are no longer permitted. If there are withdrawals from the oral programme at this stage, they will be replaced by posters selected by the Academic Programme committee that best complement the session.

4. Is it possible to send a new abstract that is some revised?
We are no longer accepting changes to abstracts. If you have sent your request before 27 February, your changes will be made to the abstracts in the final printed programme.

5. What´s the next step to forward full papers?
WFTO 2010 Congress does not accept full papers, only abstracts

6.When will the program be online?
The full program is now available online. Please see the Academic Programme page and select Congress Programme, Poster Programme or Pre-Congress Workshops Programme.

Accommodation - Answer

1. Is there cheap accommodation options for students?

2. Will there be some sort of accommodation arrangement where OTs in Chile can accommodat OTs from other countries?
There is no such arrangement, however if you are a student or new grad, we recommend you go to the Students page. There is a letter to students which has options for cheap accommodation. You can also go to this website for more information: http://boards5.melodysoft.com/app?ID=congreso2010

3. How can I book accommodation?
Please go to http://www.wfot.org/wfot2010/accommodation.php and click on the link provided to book your accommodation directly with a booking agent, OTSI, who has secured the special rates with hotels for congress delegates.

4. I would like to offer accommodation for TOs visiting Chile for the congress. Where and how can I do this?
We appreciate your interest in offering accommodation to TOs who are traveling from all around the world to attend the WFOT 2010. Please get in touch with the WFOT Student Committee by visiting by emailing contacto@boletinto.cl or visiting their web page at www.boletinto.cl.There is also a facebook group where you may communicate with other occupational therapists. Please note that any offer or acceptance of accommodation other than through the official accommodation provider OTSI, is not endorsed by WFOT. If you wish to offer or accept accommodation from providers other than OTSI, you do so at your own risk and responsibility.


Call for papers - Answer

1. Can I change from short oral presentation to poster?
NO, no changes to the programme are permitted at this stage, as the programme handbook is about to go into print.

2. Can I still submit a paper to be presented at the WFOT congress?
No.

3. Has my abstract been accepted for presentation?
If you have not received any emails from the Congress Office, and you cannot find your paper on the congress programme or the poster programme, then your paper has not been selected.

4. How many abstracts were selected from the abstracts submitted?
Of the 2041 submitted, 1639 have been accepted for an oral presentation or poster.

5. Was my paper reviewed and evaluated in English or Spanish?
This depends on the language in which you requested your abstract to be reviewed. If you submitted it in English, then it was reviewed by an English speaking person.

6. Why was my abstract only selected for a poster presentation?
We received an overwhelming response to the Call for Papers (over 2000 submissions). As a result we were able to accept only just over 10% of submissions for oral presentations. Hence many high quality submissions were not able to be presented as orals, but we wanted to include them as posters as they contain important information and knowledge that we would like presented at the congress.

1. Do I need to have an accepted paper/presentation to be considered for a grant?
Preference will be given to those who have been accepted for presentation.

2. How can I contribute towards the WFOT grants programme?
1.- Congress Registration Form – If you are planning to attend the conference as a speaker or participant, while also wanting to contribute to the grants programme, please go to the Registrationpage and fill out the Conference Registration Form. This will allow you to register for the conference and make a donation to the Grants Programme at the same time. If you have already registered, and now wish you make a donation, please also go to the Registrationpage and click on “Edit Details” and add the amount you want to contribute.

2.- Contribution to Grants Programme Form – If you are not attending the conference, but would still like to make a donation, either as a personal contribution, or in the name of an organisation, please go to the Grants Programme page.

3. When and where can I apply for grants?
We are no longer accepting applications for the grants programme, as the deadline was 23 January.

4. When will I be notified if I have been granted funds to attend the conference?
The committee will review the applications and start notifying applicants from March.

Payment - Answer

1. Due to strict control of currency exchange in our country, which regulates how many dollars we can use, is there a way to pay part of the registration fee online, and pay the different in cash on arrival at the Congress?
Upon request, delegates from Venuezuela and other selected countries who have registered for the Congress but who cannot pay the entire Congress fees (incl. other fees such as tickets to the gala dinner or welcome reception) due to currency exchange policies in their country of origin, may be permitted to pay only part the registration fee in advance, and pay the remainder amount due onsite. In order to still benefit from the Early Bird registration fee, you MUST pay part of the fee before 10 February and you MUST send an email to wfot2010@wfot.org to request this special payment arrangement.

2. What is a certified cheque?
The certification consists of a record, signed by the bank on the check itself, stating that funds are available in the account of the drawer, to cover the check. Certification must be issued by the bank upon request of the drawer.
The purpose of the certified check is to provide greater security for the recipient of a check.
The issuing bank must ensure that there are sufficient funds in the account to cover the check, for as long as the cheque is valid.
Ask your bank about the fees charged for certifying cheques, and in the event of cancellation.

3. What payment methods do you accept?
If you are registering online, possible methods of payment include credit cards (VISA, Mastercard and American Express) and cheques made out to WFOT. If you are faxing or emailing a hard copy registration form, we only accept cheques made out to WFOT. Bank transfers and Diners cards are not accepted.

4. Can we pay the registration fee at the congress?
If you cannot pay by credit card or cheque prior to the congress date, you can pay onsite in cash or by credit card. Please note however that in order to qualify for early bird registration fee, your payment must be received by 10 February 2010. Registration fees are based on date of payment receipt, not the date of receipt of registration form.


Posters - Answer

1. Can I submit my poster without my attendance?
No, at least one of the authors must be registered and attending the conference.

2. Is audio or video presentation available for accepted posters?
No, there will be no audio visual equipment available for poster presentations.

3. What date or dates poster sessions will take place?
The Poster program can be found on the Poster Programme page.

4. What does a poster presentation entail?
For a complete description of poster specifications, please visit the “Presenter Information” under the Academic Programme page.

5. Can my poster be presented in landscape instead of portrait?
If it has been prepared in landscape then the width can be no more than 841mm wide. This is the only limitation.


Press - Answer

1. Can I get an accreditation as a member of the press, so I don’t pay the fee?
There will not be any concesssions or subsidies available for international media wishing to attend the WFOT Congress. Local media may be given session passes on request following an approval process.

2. Do you have a contact person for press?

3. Will you have a pressroom during the congress?
No, there will be no press room at the venue during the congress.

4. Will you have an official photographer where I can get pictures from?
There may be a photographer at the Congress, but the photos will not be available to delegates, only to press members upon request.

6. WFOT Cancellation policy
All cancellations received in writing to the Congress Office by Friday 1st April 2010 will be accepted and all fees refunded less a US$100 administrative fee and any bank charges incurred by the Congress for the processing of the refund. Cancellation notices received after this date cannot be accepted and will not be refunded, however transfer of your registration to another person is acceptable. The full name and details of the person that will replace you must be advised in writing to the Congress Office prior to the Congress. No refunds will be made for non-attendance at the Congress.


Programme - Pre Congress Workshops - Answer

1. When will a decision be made for the Pre-Congress Workshops?
Final decisions and notification about Pre-Congress workshop proceeding will be made by 31 March 2010. Presenters will be notified by 5 April.

3. What happens if one of the workshops I’ve registered for is cancelled?
We will notify you and give you the option of choosing a different workshop, or being fully refunded.

4. How can I register for a Pre-Congress Workshop?
If you have already registered for the Congress, please edit your registration record using your access key. You can add up to 1 workshop per day.

5. Where will the workshops be held?
The venue for the workshops will be decided in the first week of April. The information will be made available on the pre-congress workshops programme page as soon as the venue(s) is confirmed.

6. Will there be transportation available to pre-congress workshop participants?
OTSI will arrange transportation for participants and presenters to the workshop venue. This is included in the workshop registration cost.

Sponsorship & Exhibition - Answer

1. Do exhibitors have to pay registration fees?
A catering pass is included in exhibition booth packages that allows exhibitors access to the general exhibition area and the catering. This does not allow them access to sessions. If exhibitors would like access to sessions, they must pay the registration fee.

2. How do I make a booking for a booth or a sponsorship package?
Please go to the Sponsorship Page of the website, preview the prospectus & then complete the Booking Form at the end. Fax the Booking Form to the Congress Office.


Student - Answer

1. How much is the late registration fee for Students?
Registration fee for students is the same whether you register before or after Early Bird date. The fee is $250.00 for low income countries, and $395.00 for high income countries. Please visit the Students page for more information about Student registration fees and how to qualify for the discounted rates.


Transport - Answer

1. Will there be special transport from the airport available to delegates?
OTSI is the official transport provider for the WFOT 2010 Congress. OTSI will arrange for daily transfer of delegates to the venue from selected stops in the areas of Providencia, Las Condes and Santiago Centro. More information about cost, bus stops and schedules will be available soon on the Accommodation/Transport and General Information pages.
